Consent
Where you have specifically agreed to a particular use of your information, including certain communications or uses of photographs and video where consent is required.
Legitimate interests
Where processing is reasonably necessary for the administration, operation, security, or improvement of our activities and those interests do not override your fundamental rights and freedoms.
Legal obligations
Where processing or retention is required under applicable Italian or European law.
Where processing relies on your consent, you may withdraw that consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.
5. Website hosting and Wix
Our website is built and hosted using Wix.com.
Information submitted through our website may therefore be processed and stored through Wix systems, databases, applications, and infrastructure in accordance with Wix's applicable privacy, security, and data-processing practices.
Wix may also provide or support functionality used on our website, including membership accounts, forms, event registrations, communications, analytics, and payment integrations.
Milan Women Network does not own, operate, or directly control Wix's servers or technical infrastructure. While we take reasonable steps when selecting and using service providers, the operation and security of Wix's independent technical infrastructure are managed by Wix and are also subject to Wix's own privacy, security, and contractual obligations.

If you do not wish to be photographed or filmed, please follow the opt-out instructions provided during registration or contact us before the relevant event at:
Where processing is based on consent, you may also withdraw your consent for future use by contacting us. Withdrawal does not affect uses that were lawful before consent was withdrawn.
8. Members Directory
Core Members have the opportunity to participate in our Members Directory.
Participation is voluntary.
Only information that a member chooses to submit for this purpose will be included. Depending on the information provided, this may include professional background, business or service information, social media details, or other information the member wishes to make available within the Directory. Members may request that their information be corrected, updated, or removed.
Information contained in the Members Directory is intended for community purposes. It may not be systematically collected, extracted, sold, redistributed, or used for unsolicited marketing or commercial communications without the relevant person's permission.
9. WhatsApp and other community channels
Core Members may receive access to private WhatsApp groups or other community communication channels.
Participation is voluntary.
When you join a WhatsApp group, certain information, such as your telephone number, profile name, and profile photograph, may become visible to other participants depending on your WhatsApp privacy settings.
Members are expected to respect the privacy of others. Personal information obtained through our community channels must not be collected, copied, distributed, published, or used for unsolicited commercial purposes without permission.
WhatsApp is an independent service and its use is also governed by its own terms, privacy policies, and privacy settings.
10. Partners, collaborations and member data
Your information is not a product.
We collaborate with selected brands, venues, organisations, and other partners, but this does not give them access to our membership database.
We do not sell, rent, trade, or provide our member database, contact lists, email addresses, telephone numbers, or other personal member information to brands, partners, sponsors, or advertisers for their independent marketing purposes.
Our collaborations may give members opportunities to discover or interact with selected partners, but the decision to engage directly with a partner remains with the individual member.
Where participation in a specific event or experience requires limited information to be provided to a venue, organiser, transportation provider, or another service provider, we will only provide information that is reasonably necessary for that purpose and where an appropriate legal basis exists.
If a partner wishes to communicate with you directly for its own marketing purposes, we will not provide your contact information for that purpose without the appropriate permission.
11. Service providers
We use third-party service providers where necessary to operate our website and provide our services.
These may include providers of:
-
website hosting and infrastructure;
-
payment processing;
-
email and communication services;
-
event and membership administration;
-
analytics;
-
technical and administrative services.
These providers may process limited personal information where necessary to perform services on our behalf or provide functionality requested by you. The use of these technical providers does not mean that we share our member database with brands, sponsors, or advertisers.
Where required by applicable law, we take appropriate steps to ensure that service providers processing personal information on our behalf are subject to suitable data-protection obligations.
12. International data transfers
Some technology and service providers used in operating our website and services may process or store information outside Italy or the European Economic Area.
Where personal information is transferred internationally, such transfers will be handled in accordance with applicable GDPR requirements and, where required, appropriate safeguards will be used.
13. Communications and newsletters
We may contact members with information necessary to administer memberships, registrations, purchases, events, or services they have requested.
We may also send newsletters, event announcements, community news, and other communications where permitted by law or where the appropriate consent has been provided.
Where applicable, you can unsubscribe from marketing communications using the unsubscribe option provided in the communication or by contacting us.
Unsubscribing from marketing communications does not prevent us from sending necessary administrative or service-related communications concerning your membership, registration, purchase, or an event you are attending.
14. Cookies and website analytics
Our website may use cookies and similar technologies to operate correctly, remember preferences, maintain security, and understand how visitors use the website.
Some cookies may be essential for the operation of the website. Other cookies, including certain analytics or marketing technologies, will be used only in accordance with applicable consent requirements.
Where required, visitors can manage their cookie preferences through the cookie consent tools available on the website.
15. How long we keep information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable administrative, accounting, contractual, or legal requirements.
Different types of information may therefore be retained for different periods.
Where information is no longer required, we will take reasonable steps to delete or anonymise it, subject to applicable legal obligations and the technical capabilities of the systems and service providers we use.
16. Data security
We take reasonable organisational and technical measures to protect personal information under our control against unauthorised access, loss, misuse, alteration, or disclosure.
Our website and certain data are hosted and processed through third-party infrastructure, including Wix. Milan Women Network does not own or operate those servers and cannot independently guarantee the security or uninterrupted operation of third-party systems.

18. Children's privacy
Our services and memberships are intended for adults unless a specific event or activity expressly states otherwise.
We do not knowingly collect personal information from children through standard membership registration.
Where an event involves minors, appropriate information and consent requirements will be handled separately in accordance with applicable law.
19. Changes to this Privacy Policy
